Job Summary

The position holder’s primary focus (amongst other duties and responsibilities) is to execute his/her duties with major emphasis on the entire sales process. Great emphasis is placed on offering consistent high levels of customer service in keeping with the policies of the Company. As a support to the sales process, the Sales Team Leader also has a responsibility to track and monitor sales in all areas discussed above, to maintain existing business and foster new business opportunities in all categories.

Additionally, the position holder is to ensure that all employees under his/her span of control adhere to the safety policies and guidelines set out by the company.

Job Responsibilities

Inside Operations

  • Executing orders on a timely basis and contacting customers with relevant delivery information regarding agreed delivery date and
  • Ensure that all request for equipment is dispatched immediately to the designated sales personnel for delivery in keeping with customer’s
  • Calls customers as needed to advise as to any changes / delays in
  • Assign orders and drivers to the manifest or reassign to a particular route for delivery if
  • Ensure urgent orders in the manifest are addressed and communicated to the driver to ensure
  • Follows up on a daily basis with the manifest at strategic intervals to ensure orders are assigned and deliveries are being

Route Sheet Management

  • Reviews the Customer Route Sheet from the prior day’s sales and seeks explanations from all drivers as to non-adherence to same including sales
  • Provides the current day’s approved customer route sheet for particular equipment customers PLUS customers not serviced from the prior day’s route
  • Ensures that the approved customer route sheet for particular equipment customers is adhered to by all drivers and communicates immediately to the Sales Manager all instances of non-compliance to
  • Ensures all requests for equipment made by Drivers/Salesmen/Contract Distributors are fulfilled;
    • Relays for Drivers
    • Stock for Contractors
  • Communicates immediately with the Sales Management to address and resolve all issues with reference to delivery of equipment
  • Reviews the Customer Route Sheet to ensure all equipment depots are ‘active’. Communicates to the Sales Manager on any depot that is ‘inactive’ for cylinder

  • Tracks the progress of Salesmen against agreed sales targets investigates variances through discussions with them and liaises with the Sales Manager on a timely basis in order to develop strategies to correct
  • Vehicle Tracking – reviews report on vehicle usage including but not limited to hours worked, start and stop times and area

Customer Complaints Resolution- (within 24 hours or less of receipt of complaint)

  • Works with the Sales Manager for the speedy resolution of all customer complaints and communicates with customers on resolution of complaints/concerns immediately once the issue has been resolved.

Daily Cash Reconciliation

  • Ensures that all Daily Cash Reports (D.C.R’s) are reconciled in absence of Company Cashier when vehicles have returned to the All variances are to be communicated to the Sales Manager immediately.
  • Collects, (in the absence of the Company’s Cashier), all cash and cheques pertaining to equipment sales and secures same in the vault, ensuring that the procedures for the collection and vaulting of cash is adhered to at all
  • Issues bill books to drivers in keeping with set policy and
  • Issues cash receipts and charge bills for all office sales in keeping with set policy and
  • Handles office sales and liaises with customers for the sale of other company products

Dispatching

  • Dispatches, in conjunction with the Sales Manager, the sales vehicles on a daily basis and assigns labour to the relevant trucks, ensuring that there is adequate coverage in all areas and that all customers are serviced as
  • Ensures particular device is assigned to an appropriate Driver before he/she exits the
  • Ensures all Drivers are equipped with bill books, printers and terminal paper before they exit the compound
  • Ensures the collection and inspection of devices are completed upon Drivers return to the All non-conformances or abnormalities of devices should be reported to the Sales Manager
  • Ensures all devices are docked and charged upon Drivers return to the compound in order to prepare for the next day Sales

Sales Analysis Reports

  • Prepares and submits to the Sales Manager documenting:
    • areas serviced
    • sales value
    • new customers- value
    • dormant customers
    • replacement customers
    • sales compared to the preceding
    • issues encountered and resolutions

  • Provide directions as needed for locating particular equipment

Management Reports

  • Prepares the following reports and submits to the Sales Manager in keeping with established timelines:
  • monthly sales variance (1st working day of new month)

Office sales

  • Ensures processing of sales for the fill stations and office sale

Contractor sales

  • Ensures daily processing of goods and/or invoices for all contractors of company product Sales.
  • Outside Operations
  • Supplies diesel to trucks as requested, records and get necessary signatures on Daily Balancing Sheet – Own Use Fuel Ensure at the end of each business day that all diesel dispensed is reconciled.
  • Using the GPS the STL monitors daily vehicle Advises the Sales Manager on areas of concern re:
    • hours worked
    • start and stop times
    • extent of route coverage
    • speed within assigned routes
    • So that timely action could be implemented to correct adverse
  • Verifies stock of all equipment trucks upon exit from compound with the Inventory Controller and the Security
  • Verifies stocks (in conjunction with the Inventory Controller, Salesman and Security) of all equipment trucks upon entry and exiting the compound, including the offloading process with the Inventory Controller and Security Guard, records the relevant information with regards to empties returned, full cylinders returned, leakers and rejects on the inventory
  • Ensure proper organization and management of the

Vehicle Check In/ Check Out

  • Ensures that all bulk sales of equipment trailers are weighed every morning and that they carry an average weight and that same is recorded in the Daily Sales

  • Reports to the Sales Manager the status of all sales vehicles on a daily basis to ensure that there are road-worthy vehicles to service all
  • Liaises with the garage on all vehicle breakdowns and communicates immediately with the Sales Manager in the event delays to repairs are encountered with the garage
  • Scans the barcode on each equipment upon exiting and entering the
  • Verify and confirm that the information is correctly uploaded to the vehicle load
  • Works closely on a daily basis with the Sales Manager South to ensure that there is adequate labor to conduct the division’s daily
  • Checks the status of all vehicles check list items together with the Security, Inventory Controllers and

Health Safety and the Environment:

  • Ensures that all activities are performed in a manner that will minimize pollution to the
  • Works with all employees to ensure that designated work areas are kept clean at all times so as to reduce the occurrences of near misses/ incidents /accidents.
  • Liaises with the Company’s Group’s Health, Safety and Environment Manager or the S and E Assistant on all instances of non -compliance by departmental employees to the Occupational Safety and Health Act 2004 (rev2006) and the Health, Safety and Environment guidelines so that immediate action could be taken to resolve same.
  • Wear and ensures that all employees wear at all times, whilst performing designated duties and responsibilities, the Company’sP. and E in the manner they were designed to be worn.

Adheres at all times to the following:

  • The company’s scheduled safety fortnightly/weekly monthly/daily
  • Ensures that defective vehicles are never used.
  • Use of all tools and equipment provided by the company in the manner they were designed for.
  • Reporting of all accidents and incidents as per the company’s Accident
  • Fire Drills and other relevant Health Safety and Environment
  • The proper use of Fire Extinguishers and the inspective to ensure that they are fit for
  • The issuing and proper wearing and maintenance of Personal Protective Equipment.
  • The completion of Job Safety Analysis Forms and any permit that is relevant and part of the Company’s Permit to Work Management
  • Attendance at all Toolbox
  • Any other policies and procedures with reference to working safe within the organizations Health, Safety and the Environment Management
  • Works with other employees / contactors to ensure that the Company’s assets and also that of our neighbors are not negatively affected by our

Job Requirements

  • Certification in Sales/Marketing
  • Five (5) CXC O’level subjects including English Language, Mathematics
  • Three (3) years working experience with some supervisory experience
  • Computer literate with at least a basic working knowledge of Microsoft Word and
  • Good customer service, oral and written communication
  • Must be willing to work on a rostered shift
