Position Title: Communications Officer

Status: 6 month contract
Hours of Work: 7:30 am to 4:00pm
- The incumbent must also be able to work beyond normal working hours (7:30 am to 4:00pm), inclusive of weekends in instances as required.
Job Summary:
Reporting to the Senior Manager – Corporate Partnerships, the Communications Officer is responsible for the development and execution of internal relations activities, and for providing support to the company’s strategic branding and CSR program. All activities are expected to be conducted safely, cost-effectively, and reliably and must be delivered in a manner that consistently adds value to the client’s overall business process.
Dimensions
The Communications Officer supports the delivery of the Brand and Communications strategy, with specific deliverables for internal communication and employee engagement. The role prepares internal communication in a wide range of formats and applications for distribution to employees. The incumbent will also be responsible for planning and managing all corporate events. For the latter, the incumbent is required to represent the company on committees and lead other approved Group projects. The position has no financial authority.

Nature and Scope:
The Communications Officer supports the delivery of the Brand and Communications unit’s strategy and resultant workplan, specifically relating to internal communications, internal branding activities and CSR.
The Communications Officer communicates with stakeholders using traditional and new media techniques that enhance staff engagement and build positive relationships between staff members and management. This position uses short-term tactical initiatives and long-term planning to execute deliverables.
Job Duties & Responsibilities:
Employee Engagement
- Develop and implement internal communication activities which involve, engage and inform all employees, utilising appropriate communication tools.
- Manage the company’s internal digital communication platforms, including digital screens, and other internal communications channels. This includes scheduling, developing, editing content, and distribution.
- Monitor and analyze trends in employee participation and feedback to identify opportunities for the development of enhanced engagement strategies.
- Prepare presentations and other communiques as required by executives and staff, employing suitable content, style and format for the target audience.
- Provide support for other departments’ projects and initiatives inclusive of presentation review and editing, tokens selection, and program agenda.
Event Planning & Management
- Plan and execute special internal events, inclusive of annual and quarterly staff engagement and celebratory activities.
- Coordinate key activities under the umbrella of creative, logistics and risk. These include venue selection, risk assessment, invitations, program, promotions, on-site preparations, vendor management, and event breakdown.
- Represent the client on teams or lead the planning of Group activities and events.
- Serve as internal B&C advisor for the planning and execution of events led by other functions.
- Assist in the planning and execution of external corporate events; coordinate service contractors; and serve as liaison throughout the planning process.
- Maintain a corporate calendar of events
Brand and Reputation
- Monitor mainstream media and social media for positive and negative coverage as well as emerging issues that may affect the client’s image and reputation and redirect to the Head, Brand and Communications.
- Lead the coordination of assigned activities for the client or Group sponsorships, including tracking benefits, promotional items, space and time allocation, exhibition designs.
CSR and Sustainability
- Implement and promote the client’s employee volunteerism program of activities, geared towards increased participation.
- Research, collate and track funding requests assigned to different funding categories.
- Liaise with requestors, ensuring adherence to funding criteria and required documentation.
- Perform duties of the Secretary to the Philanthropic Contributions Committee.
Administrative
- Track and report on budget expenditure, ensuring timely notification of anomalies, unplanned expenses, and reallocation of funds.
- Prepare requisitions and monitor receipt of invoices and payment to suppliers for products and services delivered.
- Maintain and update database for the unit’s multimedia records, inclusive of photos and videos.
- Maintain a stock of tokens and specialty items for external stakeholders.
- Perform other such duties, in support of the department’s approved strategies and annual
- workplan deliverables.
Job Qualifications:
- Minimum Acceptable Academic Qualifications
- A Bachelor’s Degree in Communication Studies, Humanities and Education, Business Management, Social Sciences or a related discipline, from an accredited tertiary institution.
- Certification in events management and international protocol with related experience will be an asset.
AND
- Minimum Number of Years of Relevant Experience
- At least five (5) years’ experience working in a corporate communications department within the energy sector.
- The incumbent must also be able to work beyond normal working hours (7:30 am to 4:00pm), inclusive of weekends in instances as required.
Specific Skills and Knowledge
- Strong writing and oral communication skills
- Knowledge of modern communication strategies
- Working knowledge of digital marketing and social media principles
- Project management skills
- Proficiency in Microsoft Office Suite, particularly Power Point Presentations
- Training in diplomacy and protocol
- Ability to work on multiple projects simultaneously
