Job Summary:

The Executive Assistant will provide comprehensive support to senior executives, ensuring efficient operation within the office. This role will manage complex schedules, organize meetings, and act as a liaison between internal and external partners, contributing to the company's success in delivering high-quality services to defense and law enforcement industries.

Key Responsibilities:

  • Organize and manage executive schedules, travel arrangements, and appointments.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Handle sensitive information with discretion, ensuring confidentiality.
  • Manage office operations, including ordering supplies and handling correspondence.
  • Collaborate on projects and contribute to event planning and other office activities.
  • Provide support on proposal preparation and submissions.
  • Provides high-level administrative support and assistance to the Managing Director and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
  • Schedules and attends meetings on behalf of the Managing Director, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of the Managing Director reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Creating and interpreting a variety of reports.

Qualifications:

  • Bachelor’s degree or equivalent experience in administration.
  • Proven experience as an executive assistant or similar role
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Exceptional organizational skills with a detail-oriented approach.
  • Strong interpersonal skills and the ability to communicate effectively.
